Job DescriptionNevada State University (NS) invites applications for the position of Administrative Assistant 3 for the Department of Psychology & Counseling in the School of Liberal Arts, Sciences, and Business (LASB).
The Psychology and Counseling Department includes the Chair, 8 full-time faculty members, a large number of part-time instructors, and a student worker.
The department schedules over 200 sections and serves over 2,000 students annually.
This position will provide high-level administrative support to the Psychology & Counseling Department Chair including managing components of the department's operations and special projects.
At the broadest level, the Administrative Assistant 3 will engage in calendar management, room scheduling, email communication, and customer service.
Other tasks will include, but not be limited to, entering courses into the scheduling software, processing payroll contracts and communicating with part-time instructors, assisting with purchasing processes and maintaining the department budget, and supporting travel arrangements for all full-time faculty and the chair, including preparing spend authorizations (pre-travel) and expense reports (post-travel).
A successful Administrative Assistant excels at organization, can prioritize multiple competing tasks, and takes initiative before others recognize the need.

Primary
Responsibilities:
Exhibiting customer service by phone, email, and in-person.
Regular communication with faculty regarding deadlines.
Meeting and event coordination.
Entering and managing course scheduling.
Generating payroll contracts for part-time instructors.
Purchasing and procurement card reconciliations.
Generating spend authorizations and expense reports for departmental travel.
Creating and maintaining budget spreadsheets.
Assisting hiring committees with coordination of recruitment activities.
Coordination with other units as needed.
Special projects and duties as assigned by department chair.
Required
Qualifications:
Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas:
maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

Salary & BenefitsBudgeted salary for this position is $41,634.

The plan requires employees to withhold 17.
5% of the budgeted salary toward retirement with an equal employer match of 17.

The typical work schedule is Monday through Friday from 8:
